Why Your Pipe Inquiry Keeps Generating Clarification Requests
Anyone who has sourced industrial pipe more than a few times has run into this: you send an inquiry, the supplier comes back with a list of questions, you answer them, they come back with more, and by the time you get an actual quotation you’ve spent three days on what should have been a straightforward transaction. Some of that is just how international procurement works. But a meaningful portion of it comes from something that’s easy to fix on the buyer’s side: incomplete size specifications.
Pipe sizing has its own vocabulary, and if your RFQ doesn’t use it correctly, the supplier has no choice but to ask — because the same shorthand can mean genuinely different things depending on which standard is being applied.
What “4-Inch Pipe” Actually Tells a Supplier
Almost nothing. Here’s why.
“4-inch pipe” could mean NPS 4, which has an outside diameter of 4.500 inches (114.3 mm). It could also mean a pipe with an actual 4-inch outside diameter, which doesn’t correspond to any standard NPS designation. It could mean someone measured the inside diameter and called it 4 inches, which would put the OD somewhere above that depending on wall thickness. And if the supplier operates primarily in the metric system, they’ll be converting whatever they think you mean into DN equivalents before they can even pull a stock item.
None of these interpretations is unreasonable. That’s the problem.
When a supplier asks “do you mean NPS 4 or actual 4-inch OD?” they’re not being difficult. They’re trying to make sure they quote you the right thing. The clarification request is the correct response to an ambiguous inquiry. The fix is to write inquiries that aren’t ambiguous.
The Three Numbers That Specify a Pipe Completely
A pipe is fully defined by three things: outside diameter, wall thickness, and material. Everything else — the NPS designation, the DN designation, the Schedule number — is a shorthand reference to combinations of those values, standardized so buyers and suppliers can communicate efficiently without having to write out millimeter dimensions every time.
The practical way to write a pipe inquiry that doesn’t generate clarification questions:
NPS or DN designation — to tell the supplier which standard you’re working from and what size family you’re in. NPS 4 or DN100, not “4 inches.”
Schedule or wall thickness in mm — Schedule 40 for NPS 4 corresponds to a 6.02 mm wall. But don’t rely on the Schedule number alone: the same Schedule means different wall thicknesses at different NPS sizes, so if you want to be unambiguous, include the actual wall thickness. “SCH 40 (6.02mm wall)” is better than “SCH 40.”
Material specification — the grade and standard, not just the material name. “Carbon steel pipe, ASTM A53 Grade B” is clear. “Steel pipe” is not, because it could mean galvanized, seamless, ERW, stainless, or any number of other things depending on what the supplier stocks.
A complete inquiry line reads something like: ASTM A53 Grade B, NPS 4, SCH 40, 6.02mm wall, 6m lengths, 200 pieces. That’s a quote a supplier can return to you without asking a single follow-up question.
Where the Size Confusion Usually Starts
The most common source of ambiguity in pipe inquiries is not writing the NPS or DN designation — just providing a number that the supplier has to interpret. The second most common is mixing units: providing the NPS designation in one place and a metric wall thickness derived from a different standard in another.
If you’re working from a drawing that uses NPS designations, your inquiry should use NPS designations. If you’re buying from a European supplier who works in DN, you need to convert — but the conversion is a lookup, not arithmetic. NPS 4 and DN100 are the same outside diameter; you just need a reference that confirms this rather than assuming it. A good pipe diameter chart will show NPS, DN, and OD side by side, so you can verify you’re specifying the same pipe regardless of which column the supplier is reading from.
The wall thickness situation is slightly more involved because Schedule numbers don’t translate directly across standards. ASME B36.10M defines Schedule thicknesses for carbon steel pipe; EN 10255 defines different series for European pipes. If you specify Schedule 40 to a European supplier, they’ll know roughly what you mean, but the precise wall thickness may vary depending on which standard they’re supplying to. Giving the actual wall thickness in millimeters removes that ambiguity entirely.
The Downstream Effect of Getting the Specification Right
A well-specified inquiry does more than just avoid clarification rounds. It also gives you a cleaner basis for comparing quotations.
When you receive quotes for “4-inch pipe” and one supplier quotes you NPS 4 SCH 40 while another quotes you NPS 4 SCH 80 because they misread the spec as a pressure application, the prices won’t be comparable — and you might not realize why until after you’ve placed the order and received heavier pipe than you needed. If your inquiry specifies the wall thickness explicitly, every valid quote is based on the same material, and price differences reflect supplier pricing rather than specification interpretation.
The time it takes to look up the right OD, confirm the wall thickness from a schedule table, and write a complete material specification is small compared to the time it takes to manage a two-week back-and-forth with a supplier over what you actually wanted. It’s also considerably less expensive than receiving the wrong pipe and having to arrange a return shipment.
The vocabulary of pipe sizing exists precisely to prevent these problems. Using it correctly — NPS or DN, actual wall thickness in millimeters, and a recognized material standard — means your inquiry says exactly what you intend, and the supplier can respond with exactly what you asked for.
